1. On Choosing the Venue and the Logistics Involved

Naturally, the venue is one of the most critical factors to having an event go well, and what makes an ideal space will be different for each type of event. You’ll need to consider factors such as how many people are attending, parking facilities, and if the place has adequate on-site amenities (don’t foget toilets!), and you should also take care to ensure proper emergency exits and security

As the size and scale of the event increase, so generally do the associated legal requirements. You’ll likely need a permit from the relevant local authorities to hold the event in the first place, and you must adhere to regulations and laws for health and safety as well as noise limits. 

These elements of your event should be a priority for securing early: don’t leave it last minute, as if for any reason you cannot obtain the relevant permission, your plans may not be able to go ahead.

Planning a large-scale outdoor event requires careful consideration of logistical needs, including power and water supply. While power solutions may vary, ensuring adequate water availability is crucial. Bulk water delivery can cater easily to the latter: you can discuss with the provider how much water you’ll likely need, which will then be delivered by trailer ready for the big day. 

Regarding energy, given that you’ll be operating outside, you’ll need to choose appropriate generators. Consider how much power you need for any stalls, lighting, food vendors, and so on: the company you hire your generator from will be able to advise you here, but you’ll need to have as close an estimate as possible. 

4. Sound and Lighting

Most big events catering to a lot of people need adequate sound and lighting systems. Again, your permits will dictate how much sound you can produce, but you’ll likely need to hire a sufficient PA system and have professional sound engineers make the environment acoustically appropriate. 

The lighting you need will be largely determined by how long into the day/night the event will go on. If it’s being held only during the day, it’s unlikely that you’ll need anything major beyond the basics. If your event will go on during the evening and into the night, you can look into portable floodlight towers
